How to know what your business earns without spreadsheets

Short answer

To know what the business earns without spreadsheets you have to automatically connect the sources where money moves: bank, payment processors, tax authority and cards. Transactions arrive on their own, get categorized, and land on a dashboard showing what came in, what went out and what is coming due.

Why the number always arrives late

In a small business the money sits in four or five places that do not talk to each other. Getting the real monthly number means pulling them together, and that task always loses against whatever is urgent.

SourceWhat it holdsHow it gets consolidated by hand
BankTransfers, debits, depositsDownloading the statement and copying into a spreadsheet
Payment processorsCharges, fees, withholdingsAnother statement, another format
CardsSettlements with discounts and termsA PDF summary that has to be interpreted
Tax authorityInvoicing, due dates, obligationsLogging into the portal, one by one
CashWhat is not recorded anywhereFrom memory or a notebook

The typical outcome: the owner learns how the month went when the accountant closes it, two or three weeks later. By then the information is good for filing, not for deciding.

What can be automated and what cannot

  • Automated: pulling transactions from the bank, payment processors and cards; reading PDF statements; categorizing income and expenses; flagging due dates; building the accountant export.
  • Not fully automated: cash, which needs a quick entry from the phone, and ambiguous categorization calls, where the system proposes and you confirm.

Honesty matters here: no system takes the work to zero. What it does is turn several hours of manual entry into a few minutes of review.

The three questions a dashboard has to answer

A financial dashboard for a small business does not need twenty metrics. It needs to answer three questions, well:

  • What came in and what went out this month? With the net figure visible, without adding anything up.
  • What is coming due? Taxes, services and commitments, ordered by date.
  • Where is the money going? Spending grouped by category, so you can see where to cut.

Everything else is decoration until the business grows enough to need it.

Frequently asked questions

Frequently asked questions

Is it safe to connect a bank account to an external system?
It depends how it is done. What you should require is read only access, no credentials stored in plain text, and a vendor that can explain precisely what data it takes and why. It should never be able to move money: only read transactions.
If I have an accountant, is this redundant?
No, they are different things. The accountant handles compliance and closes periods; the dashboard tells you how the business is doing today so you can decide. In fact many accountants recommend it because they receive clean information on time.
Does it help if almost all my sales are cash?
It helps, but with realistic expectations: cash has to be entered, even if it is two taps on the phone. What gets automated is everything else, which in most businesses is already the bulk of the volume.
How long does it take to set up?
Between 3 and 7 days, and most of that goes into connecting the accounts and tuning categorization rules against your first real transactions.
